Dispensing Notes
When creating Treatment Codes in Code Entry, one or more default dispensing notes (for printing on labels) can be assigned when Adding a Code. Building up a library of generic dispensing notes will make them available when creating each code.
If you insert a ? the system will anticipate an input from the user.
For example. If you have a note which says "Give ? capsules ? times daily for ? days", when a treatment with this instruction is dispensed, the cursor will jump to the next ? each time the user clicks on the next ? or presses Tab.
Label Quantify Auto Formatting
This library has three columns: Default, Add, and Replacement.
'Default' is the column where you enter the word wish to be auto formatted, 'Add' defines if the Quantity element of the Auto-Formatting will be used and 'Replacements' specifies the word that will replace the default word.
For example, if you want to turn plural words into singular words when the number 1 is placed in place of a question mark.
To do this, select the top blank line under default and type the plural word (i.e. Capsules), ignore the 'Add' tick box and select the blank line under replacement and type the singular word (i.e. Capsule), when this is complete press the enter key to commit the change.
Now when typing numbers into the treatment label instructions the following example will occur.
Example:
Give ? capsules ? times daily for ? days
will change the text into
Give 1 capsule 2 times daily for 1 day
Dispensing Notes - Label Quantity Auto Formatting
This library is used if you want changes to be applied to the Dispensing Notes from the Quantity maintenance window (i.e. turning '2 weekly' into ' twice weekly').
When the Quantity menu has been setup you will be able to create treatment label instructions like the following example.
Example:
Give ? capsules ? daily for ? days
will change the text into
Give 2 capsules twice daily for 9 days
Flea Prevention Types
In the Patient Details area of Merlin, it is possible to assign a 'preferred' flea treatment to a patient.
The preferred flea treatment must be selected from a drop-down list. Treatments can be added/edited/deleted from this library.
Legal Categories
In Code Entry, it is possible to assign a treatment to it's correct legal category. Categories can only be deleted if they are not currently in use (i.e. assigned to a Treatment Code).
Suppliers & Manual Suppliers
Suppliers can be assigned to products in Code Entry and can also be used so that products can be automatically ordered from the correct company. Whilst it is possible to add new suppliers, it is not possible to generate automatic/electronic orders for these new suppliers as ordering protocols are only available for the three suppliers above.
Manufacturers
Manufacturers are assigned to products in Code Entry, a manufacturer needs to be assigned to a product if you are using net-net-net pricing.
Clinical Codes
The Clinical Code maintenance window allows adding, editing and deletion of clinical codes (treatment areas) that are assigned to codes and can be changed in the treatment screen, by right clicking on the treatment item.
Treatment Categories
For Reporting Purposes, it is possible to group your Treatment Codes into Categories, for example: Small Animal Wormers, Flea Treatments, Antibiotics, etc.
Treatment Types
All treatments sold in the Merlin system and created in Code Entry are assigned to Treatment Types.
Default Treatment Types cannot be deleted, though their properties can be modified. New Treatment Types can be added via the maintenance screen. The columns in the Table control different properties which are detailed in the table below.
Name = The name of the Treatment Type
Short-Key = The short single letter code by which the Treatment Type is identified when viewed in History on the Treatment Screen.
View Order = Defines the order in which Treatment Types are listed throughout Merlin. Lower numbers appear first.
Icon = The icon defined to represent this Treatment Type throughout Merlin.
Default Dispensing Note = Pre-populates the dispensing note when adding a code. This will auto apply to all codes in that treatment type and cannot be deleted per code.
Alter Sex = If ticked, when a new code of this Treatment Type is created (in Code Entry), the 'Alter Sex' option is already selected.
Request Batch = If ticked, when a new code of this type is created (in Code Entry), the 'Batch Req' option is already selected.
Stock Item = If ticked, when a new code of this type is created (in Code Entry), the 'Stock Item' option is already selected.
Request Reminder = If ticked, when a new code of this type is created (in Code Entry), the 'Reminder Req' option is already selected.
Request Label = If ticked, when a new code of this type is created (in Code Entry), the 'Label Req' option is already selected.
Wormer = If ticked, when a new code of this type is created (in Code Entry), the 'Wormer' option is already selected.
Flea = If ticked, when a new code of this type is created (in Code Entry), the 'Flea' option is already selected.
Apply Discount = If ticked, when a new code of this type is created (in Code Entry), the 'Apply Discount' option is already selected.
Request Quantity = If ticked, when a new code of this type is created (in Code Entry), the 'Qty Req' option is already selected.
Override Price = If ticked, when a new code of this type is created (in Code Entry), the 'Override Price' option is already selected.
Calculate Quantity = If ticked, when a new code of this type is created (in Code Entry), the 'Calc Qty' option is already selected.
Hidden = Ticking this option will hide any codes added to this type at branches (when created at the main site).
Markup = Allows a default Markup to be defined.
Minimum Charge = Allows a default Minimum Charge to be defined.
System Defined = Informs the user that the Treatment Type is defined by MWI and cannot be removed.
Default Stock Level = Allows a default minimum stock level for the Treatment Type.
Code Group
Applicable to Stock Items Only. Used for sub-categorising your stock codes for use with reports.
